POSITION: Client Experience Specialist Assistant
DEPARTMENT: Front Desk Support
REPORTS TO: Client Experience Manager
LOCATION: Lewiston, Maine

Purpose of Position: The Volunteer assigned to Client Services Assistant provides services to enhance the client experience. This is accomplished by taking responsibility for completing administrative tasks in a timely and organized manner to assist staffers at the front reception area.

Commitment: Standard 3-4 hours weekly shifts

  • Morning shift: 9:00 am – 1:00 pm
  • Afternoon shift: 12:00 – 4:00 pm
  • Evening shift: 4:00 -7:30pm
  • Coverage for meeting as needed

Regular Duties Include: 

  • Register clients for programs either in person or by phone
  • Greet and welcome clients; directing inquiries to designated department
  • Checking clients in for appointments and programs (using MindBody)
  • Calling to confirm future appointments for the next business day
      • Confirming, canceling or rescheduling appointments in MindBody
      • Creating “contact logs” of interactions in MindBody with clients
  • Answer client questions as they arise, referring people to the website
  • Answer the phone and direct calls to staff as needed
  • Willingness to take on additional tasks such as mailings or other projects that may arise
  • Maintain general appearance of the spaces within the Center (library, coffee and side tables, periodicals, pamphlets)
  • Will assist with room set-up as required for programs, functions, or events

Qualifications:

  • Knowledgeable of the Center’s programs and services
  • Advanced computer skills and proficient in Microsoft Office applications
  • Demonstrates professionalism with all clients and staff having warm and friendly disposition when managing calls and visitors
  • Professional appearance
  • Excellent verbal, written, communication, and interpersonal skills
  • Proficient with a multi-line phone system
  • Comfortable working independently and in a team environment
  • Detail-oriented
  • Empathic and caring, open minded, dependable with a healthy sense of humor

General Requirements:

  • Must attend position specific training
  • Must attend Dempsey Experience Training
  • Maintains professional behavior, dress, and appearance at all times while volunteering
  • Must use discretion and protect the confidentiality of all Dempsey Center clients.; HIPAA-specific training will be provided.

Required for All Volunteers:

  • Background check
  • Annual Influenza Immunization or Declination Notice
  • COVID-19 vaccination + Bivalent Booster
